How a Small Business Goes Live With an AI Phone Agent in 7 Days

The Setup Timeline Is Not What You Think

The most common reason small business owners do not deploy an AI phone agent is the assumption that it will take months, require a developer, or demand a level of technical effort their team cannot sustain. Day 1: Intake Call (30 Minutes)

We start with one 30-minute call. The goal is to understand three things: what your business does, what your most common inbound call questions are, and how you want calls to end -- scheduled appointment, collected lead info, routed to a specific person, or some combination.

You do not need to prepare anything for this call. We ask the questions. You answer them conversationally. We take the notes.

Days 2 to 3: Knowledge Base Build

We build the knowledge base that the AI agent draws from: your hours, your services, your pricing (to whatever degree you want to share it on calls), your booking process, and your escalation rules (what questions should go to a human, which phone number, and when).

You review a draft. We iterate. Most clients need one round of edits. This typically takes 48 hours.

Day 4: Voice Configuration

You pick a voice, a greeting, and a tone. We configure the phone number -- either porting your existing number or provisioning a new one that forwards to the agent. We set up the escalation path so calls that need a human reach the right person without dropping.

You do not touch any code. We handle the configuration layer entirely.

Day 5: Test Calls

You call the number. Your front desk person calls the number. We call the number and push it with edge-case questions that customers actually ask. We document anything the agent handles poorly and update the knowledge base. One day of testing catches 90% of gaps.

Days 6 to 7: Buffer and Go-Live

We build in a one-day buffer for any final edits from the test call review. On Day 7, the agent goes live on your production number. We stay in close contact for the first week to catch anything that slipped through testing.

What You Need From Your Side

What Happens After Week One
